These instructions will show you how to make a PDF file from MS Word 2003 for PC and for those who own the full program of Acrobat. The steps and illustrations are based on Windows 7. If you have a different operating system, the steps may vary slightly.

With your text or cover file open in InDesign, go to File > Print.

In the Name box, select Adobe PDF.

Click Properties. Click the Paper/Quality tab. Click the Advanced button. Under Paper Size: choose Postscript Custom Page Size. In the Postscript Custom Page Size Definition prompt, make the measurements shown match your document size. (For text files, the width should match your final trim size width, and the height, your final trim size height. Cover files should be set to fit on Width: 13 in. and Height: 19 in.) Click OK twice to return to the Adobe PDF Document Properties dialog. If your file includes full color anywhere, select the Color button. Click OK to return to the Print dialog box.

Click the Adobe PDF Settings tab. Under Default Settings, choose High Quality Print. In the Adobe PDF Page Size field, change the page size to your size or click Add to create a custom size. The only choice that should be selected of the 5 checkboxes near the bottom are View Adobe PDF Results. Click OK to close the Adobe PDF Settings tab. Click OK once more to close the Print dialog box.

In the Save PDF File As dialog box, for File Name: type a file name and click Save. We ask that you name the file "AuthorLastNameText.pdf" or "AuthorLastNameCover.pdf" with no punctuation or spaces. Your PDF file should open automatically in Acrobat.

Check your PDF: Review Cover Setup and Text Setup to make sure you have met all file requirements. For text, check to make sure you have included all pages in your text file, such as blank pages or front matter. If you have any InDesign transparency effects anywhere in your document you will need to carefully check to make sure they have been properly flattened in your PDF. If you have Asian fonts, Cryllic fonts, music fonts or symbol fonts, carefully check that they were embedded properly in the PDF.
